Billboard Members
Billboard Administrators create member accounts with various levels of access and permissions for those who access billboard. When multiple users share the same permissions the Administrator could create a Group, to batch modify user permissions.
There are five types of users available to the Administrator when creating a new user account: Announcers, Members, Screeners, Editors and Administrators.
-
Announcers
An Announcer is a specialized type of member who does voice-over work. A regular Billboard Member might post a series of messages with a script that needs to be read: it could be an advertisement, a powerpoint training presentation, or a series of pictures. The Billboard Administrator would forward this to a member of the Announcers group who would return it to the Administrator when it is done. It gets approved and goes-on air.
ExampleExample
Sarah, a real-estate agent for We Sell Homes, posts a few pictures of a house she wants to sell using a multi-page template in Billboard. She has the pictures and the script and all she needs is someone with a nice voice to read it out. Luckily We Sell Homes has already pre-approved some announcers who can do the work at the drop of a hat.
The Administrator sends Sarah's message to one of the Announcers who is notified immediately about the job via an automatic email. The Announcer logs into Billboard, gets the images and the script, records the voice over and send it all back to the Administrator for approval.
-
Members (trusted and regular)
A message posted by a Regular Member goes to a queue where it awaits approval. The Administrator or Screener approves, edits or rejects the message. If approved, the message goes on-air.
ATrusted Member can create/edit/delete their own postings in billboard without requiring the approval of the Administrator or Screener.
ExampleExample
Adeem is the Administrator of the School Board's digital signage system and part of his duties as secretary to the Head of the School Board is to ensure that all the content on air is suitable for all the schools. Adeem created trusted member accounts for each school's secretary, but the student accounts were set up to require his approval before messages went on-air.
-
Screeners
Screeners are responsible for one or multiple magazines assigned to them by the Administrator.
Screeners can edit and delete all messages posted within their assigned magazines and they can also modify the playlist (removing or adding messages, but also changing the order in which they play).
Note: Note: Screeners can only post messages in the magazines they have been assigned.
ExampleExample
Samantha works at the School Board and she is the Screener for a special events magazine that plays across all the high schools and contains student pages about inter-school sports-related events. When there is a city-wide basketball tournament, students from participating schools can post messages, pictures and videos of the tournament. Samantha is responsible for all the content in that magazine.
-
Editors
Editors have access to everything the Administrator with the following exceptions:
- Editors cannot add/edit/delete member accounts
- Editors cannot access structural elements like screens and zones
- Editors cannot configure billboard.
Editors can approve, edit and delete messages across the entire billboard system, and they can modify all playlists in all magazines.
ExampleExample 1
An Editor account would work well as a backup to the Administrator. When the Administrator is on holiday, the Editor could access all of the messages and approve, edit or delete them, but cannot do structural things like resizing zones and removing or adding magazines, the sort of thing the Administrator would not want anyone else to do.
Example 2
Since the Administrator has access to all of the structural elements of the show, it makes sense for her to be in the IT department of a company. This would ensure that no one can modify the look of the show by accident. Editor accounts can then be assigned to those in the company who deal with the content of the shows.
-
Administrators
Administrators have full administrative rights to create/edit/delete other users, to view/edit/delete all posts created through billboard, and to configure Billboard. All billboard systems require at least one Administrator.
-
Login to the Administrator account and select Options to bring up the Administrator Menu if it isn't already displayed.
-
Select "Add a Member" and create a UserID.
-
Assign a password to the member.
-
Select a User Type.
- If the new user is part of a group, select it.
-
Select the Navigation Type (Graphical or Text)
Graphical NavigationThe graphic navigation style displays an interactive image of the screen. Selecting a zone on the screen opens the templates in that zone (according to user permissions). Enable this option when creating users or groups with access to templates in various zones.
This navigation style is good for users who have access to templates and magazines in multiple zones.
Text NavigationThe text style displays a separate field box for each element of the template that requires input. It is simple and clear. This style should be used for templates that have a substantial number of fields, or extra small fields.
-
Select the Template Type (Graphical or Text)
Graphical TemplateA graphic template lets a user input data directly into an image of the template, with interactive fields: what you see is what you get. This method should be used for templates that are fairly simple with just a few fields.
Text TemplateThe text style displays a separate field box for each element of the template that requires input. It is simple and clear. This style should be used for templates that have a substantial number of fields, or extra small fields.
-
Allowed Locations or Keywords. Select according to the following:
- Check some of the keywords/locations to limit where the user's messages are displayed on-air.
- Select "all" for users who can write messages to all current locations.
- Do nothing for users who can access all current and future locations or keywords.
- Complete the personal user information fields.
-
Select which templates are available to post messages. The templates are grouped by their magazines.
- All magazines means the users can post all kinds of messages in all magazines.
- An entire Magazine (all templates) allows users to post any kind of message in the selected magazines. Note: it also gives users access to all future templates created in that magazine.
- Check marks next to individual templates limits the user to those templates.
- Select the “Next” button to complete the process.
The Administrator can edit Member accounts. They can:
- Create a new password
- Modify the user type.
- Modify Navigation and Template styles
- Add or remove categories for the member account.
- Edit personal information about the member.
To edit a member account select Edit Members from the Administrator Homepage.
